Estimates only. Assumptions are listed below, and you can change every input.

Most host stands quote wait times by feel. The host glances at the floor, remembers how the last hour went, and says "about 20 minutes." On a calm night that works. On a packed Friday it falls apart, guests get quoted 20 and wait 45, and the walkaways start. This calculator turns the few numbers a host actually knows into a wait estimate and a quote with a buffer built in.

The math is simple queueing, not magic. Tables that fit the party size clear roughly every (turn time divided by table count) minutes. The first matching table frees up based on how far along those tables already are. Your guest is at position (parties ahead plus one), so the estimate is the time to the first clearing plus one gap for each party ahead, plus bussing and reset. The quote rounds that up to the next five minutes after adding your buffer, so you under-promise rather than over-promise.

How to use this tool

  1. Count the parties already on the waitlist that need the same table size as the guest in front of you, and enter the number of tables that fit that size.
  2. Enter tonight's realistic turn time for those tables and a rough average of how long the current guests have been seated.
  3. Add your reset time and quote buffer, then give the guest the rounded quote and page them by text when the table actually clears.

What the math assumes

  • Assumes the tables that fit this party size clear at a steady rate of one every (turn time divided by table count) minutes once the first one frees up.
  • Assumes those tables are spread evenly through their meals around the average elapsed time you enter, so the first table clears sooner than the average table would.
  • Assumes every party ahead on the list takes the next matching table in order, with no reservations, large-party holds or VIP skips jumping the line.
  • The quote adds your buffer percentage and rounds up to the next five minutes; the default 15 percent buffer is a starting point, not a benchmark.
  • Turn time, elapsed time and reset time are whatever you enter; the tool has no built-in figures for any restaurant type.

Frequently asked questions

Why is the estimated wait different from the number I should quote?

The estimate is the most likely wait given your numbers. The quote adds your buffer and rounds up to the next five minutes so that, on the nights when a table lingers, you still seat the guest before the time you promised.

How do I estimate the average elapsed time on my tables?

Glance at the matching tables and judge whether most are on drinks, entrees or the check. A floor with a healthy mix of all three is close to half the turn time; a floor that just sat a wave of guests is closer to zero.

What if reservations are due to take some of those tables?

Subtract the tables that are committed to reservations during the wait window from the table count before you run the calculation. The tool assumes every matching table is available to the waitlist.
