Physical coaster pagers look cheap because you pay for them once. The real cost shows up over time: units that walk out the door in a purse, cracked cases, dead batteries, a transmitter that fails and a fleet that needs replacing every few years anyway. Text paging is the opposite, a predictable monthly fee with nothing to lose or charge. Comparing the two on sticker price alone gets the answer wrong in both directions, so this calculator puts them on the same annual basis.

For pagers, the tool spreads the cost of your fleet across its useful life, then adds the cost of replacing the share of units you lose or break each year. For text paging it simply multiplies the monthly plan by twelve. Both totals are divided by the parties you page in a year so you can see cost per paged party. Every number is yours; there are no hidden industry figures.

How to use this tool

  1. Count the pagers you keep on hand and enter what you paid per unit, folding in the charging base and transmitter cost across the fleet.
  2. Estimate how many units you replace each year and how long the whole fleet lasts before it needs replacing.
  3. Enter the all-in monthly price of a text paging plan and your monthly paged parties, then compare the two annual totals and the cost per party.

What the math assumes

  • Assumes the pager fleet is replaced in full at the end of the useful life you enter, so its purchase cost is spread evenly across those years; a useful life of zero is treated as one year.
  • Assumes lost or broken pagers are replaced at the same unit cost you enter, on top of the spread-out fleet cost.
  • Assumes the monthly text paging fee you enter already includes any per-message charges at your volume; the tool does not add message costs on its own.
  • Ignores staff time spent chasing, sanitizing and charging pagers, and ignores the cost of guests who leave with a pager and never get paged; both would raise the pager side.
  • The default values are placeholders to show how the math works, not industry benchmarks; replace them with your own invoices and loss counts.

Frequently asked questions

Why does the calculator count lost pagers separately from the fleet cost?

Losses happen every year regardless of the fleet's age, so they are an ongoing expense. The fleet purchase is a one-time cost spread over its life. Counting both gives a fair annual figure.

My pagers were free with a vendor contract, does this still apply?

Set the unit cost to what you actually pay under the contract, including any monthly rental or service fee converted to a per-unit figure. If the contract has its own monthly fee, you can enter it in the text paging field instead and compare plans directly.

What if the result says pagers are cheaper?

Then they are, on cost alone, at your numbers. The calculator does not weigh guest experience, range limits or the freedom for guests to leave the lobby; decide those separately.
